    How to create an invoice

    1. Fill in your details and, optionally, add your logo. Choose Invoice, VAT invoice, Quote or Receipt.
    2. Add who you’re billing, the invoice number and the dates. The buttons under the due date set common payment terms.
    3. Add a line for each product or service, with its quantity, unit price and tax rate.
    4. Add your payment details, check the preview, then select Download PDF.
    5. To reuse your details, select Save details to a file. Next time, open that file, then useStart a new invoice: it keeps your details, logo and payment information, clears the customer and items, and moves on to the next invoice number.

    What a UK invoice should include

    For most businesses, an invoice should clearly show:

    • the word “invoice” and a unique invoice number;
    • your business name, address and contact details, and the customer’s name and address;
    • the date of issue and, usually, when payment is due;
    • a description of what you’re charging for, with the amount for each item and the total owed.

    Limited companies also need to show their full registered company name.

    Extra details on a VAT invoice

    If you’re VAT-registered, a full VAT invoice must also show:

    • your VAT registration number;
    • the time of supply (tax point), if it’s different from the date of issue;
    • the unit price, quantity and VAT rate for each item;
    • the total amount excluding VAT, the VAT charged at each rate, and the total including VAT;
    • any discount, shown separately.

    This is a summary, not legal or tax advice. HMRC’s guidance on invoicing and the VAT guide (VAT Notice 700) have the full rules, including simplified invoices for sales under £250.

    How amounts are worked out

    • Every amount is calculated exactly in pennies (or cents), never with rounded decimals.
    • Each line is quantity × unit price, rounded to the nearest penny, with halves rounded up.
    • A discount is taken off before tax. It’s shared between the lines in proportion to their value, so each line’s tax is charged on its discounted amount.
    • Round the tax on each line works out the tax for each line and rounds it, then adds them up.On the total adds up the lines at each rate first, then works out and rounds the tax once per rate. The two can differ by a penny or so; check which your tax authority or accountant expects.
    • A line with no tax rate has no tax. Enter 0 for zero-rated items, so the rate is shown.
    • A negative unit price makes a credit line, for example for a deposit already paid.

    Your privacy

    Nothing you enter is uploaded or stored. The PDF is made in your browser, and your logo is processed on your device. Closing or reloading the page clears the form, so save your details to a file if you’ll need them again.

    Limitations

    • The PDF uses the standard Helvetica font, which can’t show characters outside Western European languages (for example Chinese, Arabic, Greek, Polish ł or emoji). The tool points out any it finds before creating the PDF.
    • Currency symbols that Helvetica can’t show, such as ₹, are written as the currency code instead (INR).
    • The layout is fixed: you can choose the paper size and accent colour, but not the fonts or the position of each part.
    • The tool doesn’t send invoices, number them across sessions or track payment.

    Frequently asked questions

    Are my details stored or uploaded?

    No. Everything you type, and your logo, stays in this browser tab. The PDF is created on your device, and nothing is saved when you close the page. To reuse your details next time, use Save details to a file and open that file later.

    Can I use this for a VAT invoice?

    Yes. Choose VAT invoice, add your VAT registration number and give each line its VAT rate (enter 0 for zero-rated items). The PDF then shows the rate on each line and the VAT charged at each rate. The tool reminds you if something a VAT invoice needs is missing, but it can’t check that the rates you enter are right.

    Why can’t I use some characters?

    The PDF uses the standard Helvetica font, which every PDF reader has built in. It covers English and most Western European languages, including £, €, accents and curly quotes, but not, for example, Chinese, Arabic, Greek, Polish ł or emoji. If you type one of those, the tool tells you which field it’s in before creating the PDF.

    Does the tool send the invoice or track payment?

    No. It creates a PDF for you to send however you like, usually by email. It doesn’t number invoices across sessions or remember who has paid, so keep your own record, for example in a spreadsheet or your accounting software.
